Position Overview:

The Fleet Coordinator plays a key role in supporting HydroX’s fleet operations by managing the purchasing, inventory, and distribution of parts and supplies. This position ensures that maintenance and service teams have the components they need to keep equipment running safely and efficiently.

Essential Functions:

The essential functions include, but are not limited to the following:

• Maintain accurate inventory levels of parts, tools, and consumables for hydro excavation trucks and related support equipment.

• Implement and oversee inventory control systems (manual or digital) to minimize downtime and prevent shortages.

• Conduct routine cycle counts, audits, and reconciliations to ensure data accuracy.

• Source, order, and negotiate pricing for OEM and aftermarket parts related to vacuum systems, water pumps, high-pressure hoses, nozzles, and truck components.

• Develop and maintain strong relationships with suppliers, ensuring timely deliveries and competitive pricing.

• Review and approve vendor invoices, coordinating with accounting to ensure accurate and timely payments.

• Collaborate with mechanics, field supervisors, and operators to identify parts needs for preventative maintenance and repairs.

• Prioritize urgent orders to minimize downtime for critical equipment.

• Maintain detailed records of parts usage, work orders, and service histories.

• Organize and oversee parts storage areas to maintain organization, accessibility, and safety.

• Manage inbound and outbound shipments for parts and equipment.

• Ensure compliance with company safety policies and environmental regulations.

• Track parts expenditures and contribute to maintenance budgeting and cost-control strategies.

• Prepare regular reports on inventory valuation, usage trends, and supplier performance.

• Coordinate packaging and shipment of orders to support remote or satellite locations.

Qualifications/Special Knowledge Skills:

• Proficiency with inventory management software and tools (Fleetio, SAP, QuickBooks, ETC).

• Strong organizational analytical, and multitasking abilities.

• Knowledge of utility construction techniques, materials, and safety protocols.

• Excellent communication and negotiation skills, with the ability to collaborate effectively with diverse teams.

• Ability to read equipment manuals and technical drawings.

• Experience assembling or configuring hydraulic hoses preferred.

Education/Experience:
• High school diploma or equivalent required; associate or bachelor’s degree in logistics, supply chain management or related field preferred.
• 3–5 years of experience in parts management, inventory control, or fleet maintenance (experience in hydro excavation, construction, or heavy equipment industry strongly preferred).
• Familiarity with hydraulic, pneumatic, and electrical systems used in hydro vac and industrial trucks.
• Forklift Certification preferred.

• Able and willing to work long hours including day, night, and weekend shifts as needed, and work outside of
normal hours.
• Prolonged periods sitting at a desk and working on a computer.
• Able to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 50 pounds frequently.
• Ability to travel as needed.
